Software for psychiatry clinics
Psychiatry clinic software for a quiet, confidential OPD
Vitels is psychiatry clinic software for a psychiatrist's outpatient practice in India: appointments booked ahead with a longer slot per patient, a record that only your clinic can open, and a monthly repeat prescription in three steps. Patients receive their token on WhatsApp and SMS, so nobody has to sit in a visible queue. It works offline and has no licence fee.
What does a psychiatry clinic need from software?
A psychiatry clinic needs appointments that hold a longer slot per patient and are booked days in advance, a patient record that nobody outside the clinic can read, a prescription pad that repeats and adjusts last month's medicines in a few keystrokes, and a follow-up list for patients who miss their review. It needs a waiting room where a token on the phone replaces a crowded hall. It does not need wards, a pharmacy store or a lab module, and Vitels does not do teleconsultation, rating scales or counselling packages.

How a psychiatry OPD differs from a general clinic
A psychiatrist's day runs on appointments more than walk-ins. A first visit takes most of an hour, a monthly review takes a quarter of that, and the two must sit on the same calendar without one eating the other. Patients book days ahead, often by phone, and a fair share of them would rather not be seen in a waiting room full of neighbours. Most are on medicines for months or years, with a review each month and small adjustments in between.
That shape decides what the software has to do well. The desk needs a calendar with a slot length that matches the doctor's practice and a clean way to move a booking when the day slips. The doctor needs last month's prescription in front of them within seconds, and a record of what changed and when. The clinic needs a way to tell who has stopped coming. Everything else is secondary to those three.
Appointments with a slot that fits the visit
In Vitels the front desk books into each doctor's consulting sessions, with leave and closed days marked so nothing lands on a day the doctor is away. The consultation duration set in admin drives the slot length, so the calendar reflects how the doctor actually works. On the day, reception checks the patient in and they join the token queue; a reschedule or cancellation is one action. The appointment software page goes through sessions, check-in and the calendar views in detail.
Patients can also book through the Vitels patient app by scanning the clinic's QR code and choosing a doctor, and those bookings land in the same queue as the ones the desk makes. Vitels does not send appointment reminder messages today. The desk calls or messages patients itself the day before, as most clinics already do.
Confidentiality above everything
A patient who sees a psychiatrist has a reasonable expectation that the fact of the visit stays inside the clinic. Vitels is built on that assumption. Each clinic's records are isolated at the row level in the database, so no other clinic on Vitels can reach them. Vitels staff have no standing access to patient records. The record is never sold, shared with a pharmacy or used for advertising, and there is no advert, QR code or pharmacy reference on anything the patient carries out of the room. The security page sets out how this is enforced.
The same care runs through the small things. The registration notice the patient sees is in English and Hindi, and the receipt carries a grievance contact. Sign-in is by +91 mobile and OTP, each doctor's medical council registration is verified by the Vitels team, and the clinic admin can export every record as CSV at any time, so the data stays the clinic's.
Monthly reviews and long-term medicines
Most psychiatry visits after the first are reviews of medicines the patient is already taking. In Vitels that visit is three steps: Start the consultation, F4 to copy the last prescription, Ctrl+Enter to save and print. The copy is editable before printing, so a changed dose, a dropped drug or an added one is a short edit rather than a rewrite. Every version is kept in the patient's history, and any earlier prescription can be repeated if the doctor goes back to it.
Each doctor keeps their own favourites and multi-drug templates on the pad, and the complaint and diagnosis fields learn from that doctor's own completed visits only. The patient rail shows allergies, existing conditions, the last visit and earlier prescriptions while the doctor writes. Vitels records what the psychiatrist decides and brings it back quickly. It does not suggest drugs, check doses or interactions, or propose a diagnosis. More on the pad is on the e-prescription page.
Notes, scales and what Vitels does not ship
Vitels does not ship session note templates, rating scales or questionnaires, and does not plan counselling session packages or package billing. The consultation screen takes free text in the complaint and diagnosis fields, and each doctor can build their own templates, so a psychiatrist who writes a structured note can set it up once and reuse it. Scales a clinic uses on paper stay on paper, or their result goes into the note as text. Billing is one consultation amount per visit, in cash, UPI or card, with an A5 receipt and a day book by payment mode; a saved amount is voided with a reason and re-issued, never edited.
There is no teleconsultation in Vitels, no ABHA or ABDM linking, and no way to send a prescription to the patient over WhatsApp. If any of those is the reason you are looking for software, this is not the right tool yet. If your need is a calm, confidential OPD with appointments that fit the visit and a monthly review that takes seconds to document, get started for free and add Vitels Pro at ₹999 per clinic per month when a second doctor joins.
A psychiatrist's OPD day, mapped to Vitels
Each card is a live feature today. The list further down says plainly what Vitels does not do for a psychiatry clinic.
Longer appointments, booked ahead
Define consulting sessions and leave per doctor. The consultation duration set for the doctor drives the slot length, and the desk books a first visit into the time it needs. Check in, reschedule or cancel from the desk.
Confidential by design
Each clinic's data is isolated at the row level. Vitels staff have no standing access to patient records. The record is never sold or used for advertising.
Tokens on WhatsApp and SMS
The patient gets a token on their phone and can wait in the car or a nearby cafe. The queue shows waiting, called, in consultation, done and stepped out, so a patient who steps out keeps their place.
Keyboard-first pad
Drug search as you type, variant, frequency, duration and instructions in one line. F2 add drug, F4 repeat last, F8 favourites, Ctrl+Enter save and print. Favourites and multi-drug templates per doctor.
Every version kept
A dose changed at the monthly review is a quick edit of last month's copy. Each version stays in the patient's history, and a same-day correction is kept as a revision.
Letterhead print, nothing else on it
A4 or A5 on your letterhead with logo, qualifications and registration number. No vendor branding, advert, QR code or pharmacy reference, so the patient hands over a plain prescription.
Follow-up due list
Set the review date with a chip or a calendar date at the end of the visit. The follow-up due list in reports shows who has not come back, so a patient who drifts out of care is noticed.
Works offline
Queue, consultation, prescription print and billing carry on without internet and sync later. Registering a new patient needs a connection.

Straight answers
Can I give a first visit a longer slot than a review?
The consultation duration set in admin drives the slot length for a doctor's sessions, and the desk books into those sessions. With Vitels Pro each doctor has their own timings, fees and duration. A longer first visit is handled by the desk booking the time it needs within the session.
Who can see my patients' records?
Your clinic's users, within the roles you give them. Each clinic's data is isolated at the row level, Vitels staff have no standing access to patient records, and the record is never sold or used for advertising. The clinic admin can export everything as CSV at any time.
Do patients have to wait in a visible queue?
No. The patient receives their token on WhatsApp and SMS and can wait outside or nearby. The queue shows when they are called, and a patient who steps out keeps their place. Patients who book through the patient app join the same queue.
How does a monthly medicine review work?
Start the consultation, press F4 to copy the last prescription, edit any dose, then Ctrl+Enter to save and print. Every version is kept in the patient's history, and a same-day correction is stored as a revision rather than overwriting the original.
Does Vitels include rating scales or session note templates?
No. The complaint and diagnosis fields take free text, and each doctor builds their own templates and favourites. Scales a clinic uses stay on paper or go into the note as text. Vitels does not ship any specialty-specific template.
Is there teleconsultation or an appointment reminder?
Not today. Vitels has no video visit and does not send appointment reminder messages; it sends the token on WhatsApp and SMS once the patient is in the day's queue. The desk reminds patients the way it does now.
