Software for dental clinics

Dental clinic software for appointments, sittings and fees

Vitels is dental clinic software for the front half of a dentist's practice: registration, appointments, the day's queue, prescriptions on your letterhead, a fee record per sitting and reports. It has no tooth chart, no treatment plan and no procedure-wise billing, and this page says so before you sign up. A dentist who keeps the chart on paper or in imaging software, and wants the desk and the prescription pad in order, is who it fits. It works offline and has no licence fee.

In short

What does a dental clinic need from software?

A dental clinic runs on appointments rather than walk-ins, and most treatment takes more than one sitting, so the software has to book a slot, reschedule it, check the patient in and set the date for the next sitting before the patient leaves the chair. The dentist needs a quick prescription pad with their own post-extraction and post-RCT templates, a print with their registration number, and a fee recorded per sitting in cash, UPI or card. Many dentists also want a tooth chart, treatment plans and procedure-wise or package billing. Vitels does not have those; it records one amount per visit and free-text complaint and diagnosis.

How a dental practice differs from a walk-in OPD

A physician's clinic fills from the door. A dental clinic fills from the diary. Most patients call or message first, arrive for a slot, and spend twenty to sixty minutes in the chair, so the day is a sequence of booked sittings with the occasional emergency fitted in between. A root canal takes three visits, an orthodontic case comes back every month, and a denture runs through impressions, try-in and delivery. The front desk spends its time booking, confirming, moving and recalling.

Fees follow the procedure rather than the visit. A scaling, a filling, an extraction and a crown carry different amounts, and a single appointment may cover two of them. Dentists also chart teeth, number by number, and keep x-rays. Software for a dental clinic has to fit at least the first of these three habits, and a buyer should know which of the other two it covers before paying for it.

Appointments, the queue and the next sitting

In Vitels, the dentist's working hours are set as sessions, and the desk books into them. A patient who rings to move Thursday's sitting to Saturday is rescheduled in the same screen, and the leave calendar blocks the days the dentist is away. On arrival the desk checks the patient in, which puts them in the day's token queue alongside anyone who walked in with a toothache, and the token goes to their phone on WhatsApp and SMS. The dentist's screen shows the same list, updated within seconds. The appointment page goes through sessions, leaves and the patient app in detail.

When the sitting ends, the dentist sets the follow-up: a chip for a week or a fortnight, or a specific date for the next stage of the root canal. The follow-up due list in reports shows who was due and has not come back, which is the recall list a dental desk otherwise keeps in a diary. Vitels does not send appointment reminder messages yet, so the desk still makes the confirmation call.

Prescriptions a dentist writes

Dental prescriptions are short and repetitive: an antibiotic and an analgesic after an extraction, a mouthwash and an analgesic after scaling, something for a dry socket. In Vitels each dentist saves those as their own multi-drug templates and favourites, so the post-extraction set is one keystroke with F8, and the drug, variant, frequency, duration and instructions are already filled. The pad searches drugs as you type, and a clinic can add its own custom drug when a product is not in the master list. Everything about what to prescribe comes from the dentist; Vitels ships no dental templates and suggests no drugs.

Clause 3.4.1 of the Revised Dentists (Code of Ethics) Regulations, 2014, made by the erstwhile Dental Council of India before the National Dental Commission replaced it, asks every dental practitioner to display the registration number accorded by the State Dental Council in the clinic and on all prescriptions, certificates and money receipts given to patients, and clause 3.5 asks that drugs be prescribed in generic form as far as possible. The Vitels print carries your qualifications and registration number on your letterhead, A4 or A5. The free prescription pad maker builds the same letterhead for the prescriptions you still write by hand. More on the pad on the e-prescription page.

What a dental clinic needs that Vitels does not have

Vitels has no tooth chart or odontogram. The complaint and diagnosis fields take free text, so a dentist writes "46 deep caries, RCT started" and finds it again in the visit history, but there is no diagram to click on and no record of findings tooth by tooth. There are no treatment plans, so a multi-sitting case is tracked by the follow-up date and the notes in each visit, with the chart on paper or in the imaging software you already use. There is no x-ray or clinical photo upload.

Billing is one consultation amount per visit. The amount defaults to the dentist's fee and the desk edits it to what the sitting cost, and the receipt and the day book follow that amount. There is no itemised bill listing scaling and filling as two lines, no package for a full root canal paid across three visits, and no GST invoice. A clinic that quotes a plan and collects it in instalments will keep that ledger elsewhere. Read the billing page for what the receipt and day book do cover.

Who it suits, and who should look elsewhere

Vitels suits a dentist, or two or three dentists sharing a clinic, who want registration, appointments, the queue, prescriptions, a fee record and reports in one place, and are content to keep the tooth chart and x-rays where they are now. Vitels Pro at ₹999 per clinic per month gives each dentist their own sessions, fee, queue, favourites and templates, with a 14-day free trial. Core Vitels has no licence fee for a single dentist. The queue, consultation, print and billing work offline, which matters when the clinic's connection drops mid-afternoon; registering a new patient needs a connection.

A clinic that wants a tooth chart on screen, a treatment plan that tracks each stage and its payment, procedure-wise or package billing, or x-rays attached to the record should look at software built for dentistry. Those are core to many dental practices, and no amount of free-text workaround replaces them. If that is you, we would rather you knew it from this page than from a trial.

In Vitels

A dentist's day, mapped to Vitels

Every card below is live today. The list further down names what a dental clinic may need that Vitels does not do.

  • Appointments with check-in

The desk books a slot in the dentist's session, marks leave days, checks the patient in on arrival, and reschedules or cancels. Patients can also book through the patient app by scanning your QR code.

  • Find the patient by phone

Type the mobile number and everyone registered on it appears, so a mother and two children on one number are three records, each with their own history. Guardian recorded for patients under 18.

  • One queue for the chair

Booked patients and walk-ins share the day's tokens. Waiting, called, in consultation, done, skipped, stepped out. The token reaches the patient on WhatsApp and SMS, so the waiting room stays small.

  • Your own templates

Save the medicines you write after an extraction or a root canal sitting as a template under your name, then add it with F8. Drug search as you type, frequency, duration, instructions, Ctrl+Enter to save and print.

  • The previous sittings

Allergies, existing conditions, the last visit and its prescription sit beside the consultation. Every earlier visit expands, and any past prescription can be repeated with F4.

  • Letterhead print

A4 or A5 on your letterhead with your logo, qualifications and registration number. Nothing from Vitels on the page: no advert, QR code or pharmacy reference.

  • Fee per sitting

One amount per visit, defaulting to your fee and edited at the desk to match the sitting. Cash, UPI or card, A5 receipt, and a day book with totals by payment mode.

  • Next sitting and reports

Set the next sitting's date as a follow-up before the patient leaves. The follow-up due list shows who has not returned. Patients and collections by day, doctor and payment mode.

Questions

Straight answers

Does Vitels have a tooth chart?

No. Complaint and diagnosis are free-text fields, so you can write the tooth number and finding in words, and the visit history keeps it. There is no odontogram to click on and no tooth-by-tooth record. Dentists using Vitels keep the chart on paper or in their imaging software.

How do I handle a root canal across three sittings?

Each sitting is a visit. At the end of the first, set the follow-up date for the second; the follow-up due list shows anyone who has not come back. Each visit records its own notes, prescription and fee. There is no treatment plan object that links the three sittings or tracks a plan total.

Can I bill different amounts for scaling, a filling and a crown?

Yes, one amount per visit. The amount defaults to your consultation fee and the desk edits it to what the sitting cost before saving. A saved amount cannot be edited; it is voided with a reason the same day and re-issued. There is no itemised bill with several procedures as separate lines, and no package billing.

Can I save my post-extraction medicines as a template?

Yes. Each dentist saves their own multi-drug templates and favourites: antibiotic, analgesic, mouthwash, with frequency, duration and instructions filled in. F8 opens favourites and the template drops onto the pad. Vitels does not ship any dental templates; what is in them is entirely yours.

Does the prescription show my dental registration number?

Yes. The print goes on your letterhead with your logo, qualifications and registration number, A4 or A5, with nothing from Vitels on the page. Clause 3.4.1 of the Revised Dentists (Code of Ethics) Regulations, 2014 asks for the State Dental Council registration number on all prescriptions, certificates and money receipts.

What does it cost for a two-dentist clinic?

Core Vitels has no licence fee, no per-doctor fee and no per-patient fee. For two dentists with their own sessions, fees, queues and templates you need Vitels Pro at ₹999 per clinic per month, not per dentist, with a 14-day free trial and no GST charged at present. Cancel any time.

Vitels verifies each doctor's medical council registration at sign-up. Dentists are registered with a State Dental Council; ask the Vitels team before you sign up.

Appointments, the chair queue and the fee, in one place.

Book and reschedule sittings, set the next date before the patient leaves, print on your letterhead with your registration number. Works offline. No licence fee. The tooth chart stays where it is.
