What the rules touch on a token slip
No rule prescribes a token slip. These are the clauses that bear on what it says and what the desk does around it.
- NCCE standard CEA/Clinic-008, 10.1.1
Register first, then the token
"Every patient visiting the clinic shall be registered." Hand the slip after the register entry and write the same token number in the register, so the queue and the record agree.
- NCCE standard CEA/Clinic-008, 3.5
The board still shows doctors, fees and timings
The clinic standard asks for signage, in a language local people understand, with the names of doctors and their registration numbers, the fee structure, the clinic timings and the services. A token slip does not replace that board.
- CE (Central Government) Rules 2012, G.S.R. 387(E), rule 9(i)
Rates on display
Every clinical establishment "shall display the rates charged for each type of service provided and facilities available" at a conspicuous place, in the local language and in English. A slip can repeat the fee; it cannot be the only place it appears.
- NMC guidelines 06.10.2026, para 8.1(x)
No offers on the slip
No discounts, limited-period offers, coupons, gifts, cashbacks, referral benefits or free procedures that encourage unnecessary consultation. Keep the slip to the queue number; the tool blocks words like "discount" and "offer".
- NMC guidelines 06.10.2026, para 7.4; 2002 Regulations, clause 2.2
Call the number, not the name
The 2026 guidelines say clinics "shall not share any patient data, such as names, faces, anomalies, etc., which can be identified publicly". Written for advertising, the same care fits a waiting room: call and display token numbers, and keep the name line optional.
- 2002 Regulations, clause 1.4.1
If the slip doubles as a receipt
Money receipts given to patients must carry the doctor's registration number. If the desk writes the fee paid on the token slip and the patient keeps it as proof, use a proper receipt instead.
Running the day with paper token slips
A numbered run printed before the OPD opens, handed out in order at the desk.
Print the day's run before opening: 1 to 40 for a quiet day, more for a busy one
Keep a separate run, or a letter before the number, for each doctor
Register the patient, then hand the next slip and write its number in the register
Write an estimated time in pencil if you give one, and say it is approximate
Call patients by token number; let the display or the voice match the slip
Put a patient who steps out back in turn by number rather than sending them to the end
Tear or mark unused slips at closing so they cannot be used the next day
Start again from 1 each day and keep the date on the slip
The token on the patient's phone
Vitels sends every patient their token on WhatsApp and SMS, so the desk can tell each patient: "your token will also reach you on WhatsApp/SMS". The desk can still print an 80 mm token slip with the number of patients ahead and an approximate wait.
Straight answers
What should an OPD token slip contain?
The clinic name and phone, the token number in large print, the date, the doctor and a blank for the estimated time. A line for the patient's name is optional. Leave off offers and claims: paragraph 8.1(x) of the NMC guidelines of 06.10.2026 bars discounts and similar inducements.
Which printer do I need for 80 mm token slips?
Any 80 mm thermal receipt printer that installs as a normal printer on the desk computer. In the print window choose that printer, set the paper to 80 mm and margins to none. Without one, print A6 slips, or four A6 slips on an A4 sheet and cut them.
Should the token slip have the patient's name?
It can, for the desk to match the slip to the register, but call patients by number. The 2026 NMC guidelines say clinics shall not share patient data such as names that can be identified publicly, and clause 2.2 of the 2002 regulations treats patients' confidences as private. The name line can be hidden.
Is a paper token slip enough, or do I need a token display?
For a single doctor with a small waiting room, numbered slips and a called number can be enough. Larger clinics add a display board or send the token by message. Our post on paper, display and WhatsApp tokens compares the set-ups for a small clinic.
Is anything I type sent to Vitels?
No. The clinic name, phone and doctor are kept in this browser so the other Vitels tools can reuse them. The slips print blank lines for names and times, so no patient details are typed here.
