Online patient registration
Online patient registration by QR code patients fill the form, reception decides
Vitels is clinic management software for single-doctor and small multi-doctor clinics in India. With Vitels Pro, a clinic gets its own online registration link and QR code: patients scan it, fill a Hindi or English form on their phone, and see their token on a status page once reception accepts them into the queue. Nothing reaches the queue until someone at the desk checks it.
What is online patient registration for a clinic?
It lets a patient give their details before reaching the desk, on their own phone, instead of the receptionist typing them in. In Vitels the clinic prints a QR code poster; the patient scans it, reads the clinic's registration notice, fills the form and can attach up to three files. Reception sees the request under Online, matches a returning patient by hand or creates a new one, and adds them to the queue or declines. It is a Vitels Pro feature; it is not a separate app for patients to install.

Do patients need to install an app?
No. The link opens a web page in the phone's browser. There is nothing to download and no account to create. The patient scans the QR code, fills the form and keeps the page open, or opens it again, to see their token once reception has accepted them.
Why does reception still check every request?
Because the desk knows things the form does not. Two people in a family may share a phone number, a returning patient may type their name differently, and a request may come in for a day the doctor is away. Vitels never merges an online request into an existing record by itself: a returning patient has to be picked by hand, so one patient's history never lands in another's file.
The same rule covers money. The payment box is never ticked in advance, the UTR the patient enters is stored on the receipt, and a UTR already used on another receipt is refused. Reception confirms the fee in the usual billing flow.
Is it the same as online appointment booking?
No. Online registration puts a patient into today's queue after the desk accepts them. Booking a time with a particular doctor is done at the front desk in the clinic calendar, covered on doctor appointment software. Online payment at booking is not available.
What does it cost?
The online registration link is part of Vitels Pro at ₹999 per clinic per month, together with more than one doctor and revenue analysis. New clinics get a 14-day Pro trial. If Pro lapses, a link that is switched on stays on until an admin switches it off. Clinics that signed up before Pro launched keep it at no charge. Details on pricing.
How the online registration link works
Each item is a built part of Vitels Pro. The limits are listed further down the page.
Your QR code and poster
The clinic admin switches the link on and prints the QR code on an A4 poster for the waiting area or the door.
Hindi or English form
The patient reads the clinic's registration notice on the page and fills the form in Hindi or English. A guardian fills it for a patient under 18.
Your own questions
Add extra questions to the form. Questions cannot ask for Aadhaar, religion, caste or income.
Earlier reports
If the clinic allows it, the patient attaches up to three files, such as an old prescription or a report.
Optional UPI fee
If the clinic adds a UPI ID, the patient can pay through a UPI link and enter the UTR. Reception checks it; a UTR already used is refused.
Reception decides
Under Online, the desk checks each request, picks a returning patient by hand or registers a new one, and adds them to the queue or declines.
Token on a status page
Once accepted, the patient sees their token on the status page of the link they used.
Checked uploads
Uploads are checked before they are accepted, and files a patient sends download instead of opening in the browser.
Before you put the QR poster up
Set the clinic's address, phone number and grievance contact; the registration notice shows them.
Decide which extra questions you really need and leave out the rest.
Decide whether patients may attach files, and who at the desk will look at them.
Add the clinic's UPI ID only if the desk will check every UTR against the bank statement.
Show the desk the Online list and agree who checks it during OPD hours.
Print the poster where patients wait, away from the doctor's door.
What online registration does not do
We would rather you find this out here than after you have moved your patients in.
- It is not a patient app: patients use the link in their browser.
- It does not book a time slot; it joins today's queue after reception accepts the request.
- It does not take card or online payment at booking; a UPI fee is checked by the desk.
- It needs Vitels Pro; the free plan registers patients at the desk.
